Responsibilities/ Duties
- Manages the day – to – day activities, diary and calendar of the Managing Director
- Drafts letters and memos for and on behalf of the Managing Director
- Manages and schedules appointments within the office of the Managing Director
- Dispatch all outgoing letters and memos and keeps all personal and confidential files
- Ensures the safety and confidentiality of official documents
- Receives all incoming letters and memos for onward submission to the Managing Director
- Handles all the Secretar ial duties of the Managing Director Secretariat
- Files all letters on personal files and keeps all administrative files
General duties (i.e. managerial, administrative or other)
- Any other duty assigned by supervisor
Key Performance Indicators
- Ensure that all correspondence are properly filed for ready reference
- Act promptly on all correspondence
- Minute writing during Management meetings
- Follow up on actions taken during Management meetings
- Ensure that bills are processed for approval
- Timely dispatch of all incoming letters and memos
Qualifications
- A degree in the Social Sciences or a Higher National Diploma in Secretaryship
Work experience and Skills
- 5 years relevant working experience as administrative or personal secretary of a senior managament member
- Good planning and organising skills
- Excellent computer skills and advanced knowledge of microsoft office suite especially word and powerpoint.
- Good analytical skills

- Ability to maintain confidentiality

- Ability to work under extreme pressure
